About library And archive department:

The library and archive department is a part of the Andijan State Institute of Foreign Languages and works under the direct management of the rector. 

The purpose and tasks of the library and archive department:

  • Registration, reproduction, delivery and storage of internal and external organizational orders and orders related to the activity of the institute;
  • Registration of service letters, information documents, receipts and dispatches as well as letters (correspondence) sent to the heads of the institute (rectors and vice-rectors), distribution to relevant departments, sending answers to addressees to speak;
  • Issuing the necessary extracts from documents according to requirements, and destroys expired documents on the basis of documents.
  • The archive is part of the institution’s office structure and is under the direct management of the rector in accordance with the organizational structure approved for academic years. The archive is managed by the archivist appointed by the order of the rector. The archive includes the positions of head of the archive, archivist according to the approved staff schedule. The head of the archive and the positions within it work on the basis of job instructions approved separately by the rector.

The main tasks of the archive include:

  • AdSFLI’s archive consists of receiving, recording, sorting, using and preparing organization documents for storage by the state.
  • The fund assigns order numbers to collections and documents accepted into the archive;
  • Organizes an examination to determine the scientific and practical value of the documents kept in the archive, provides methodological support in the examination of the value of the documents in the course of work;
  • Prepares documents for transfer to state storage and transfers them within the time limits specified in the Regulations on the National Archives Fund of the Republic of Uzbekistan.
  • Organizes the use of documents and provides information, extracts and copies of documents to interested organizations and citizens in the prescribed manner;
  • Taking into account the uniqueness of the organization, archival work and working in the development of normative and procedural documents for working with documents (instructions, recommendations, regulations, lists of documents with storage periods, etc.) participates, coordinates them with the bodies and institutions of the “Ozarkhiv” agency under the Cabinet of Ministers of the Republic of Uzbekistan; (Clause amended by Resolution No. 131 of the Ministry of Internal Affairs of the Republic of Uzbekistan dated 18.03.2004).

2023 reports of the Library And Archive Department

During 2023, in addition to all the tasks assigned to the position of the head of the personnel department, I performed the following tasks:

– During 2023, the number of modems received by the Ministry of Higher Education and Innovation and the regional administration was 3105. Delivery of these modems to designated departments was carried out on time;

– The number of communication letters from various organizations was 333. The delivery of these communication letters to the specified departments was carried out on time;

– The registration of internal correspondence of professors-teachers and workers amounted to 3552, each of which was distributed to the designated departments;

– The Edu.uz website has been launched. 318 orders, modems and communication letters from the Ministry of Higher Education and Innovations and the regional administration and various organizations were registered;

– The E-xat system generated 183 orders, modems, and communication letters received and sent from the Ministry of Higher Education and Innovation, the regional government, and various organizations through this system;

– Orders received by the Rector of the Andijan State Institute of Foreign Languages numbered 25 in number 01.

– Order No. 02, which was registered on educational methodological works, made 106.

– 154 students were enrolled in order T-number of internal curls.

– Order TS-No. 20 of which were registered on the awarding of scholarships to students.

– Order No. 03 registered on spiritual and educational affairs, 88

organized.

– Order No. 04 on scientific works and innovations made 69.

– Order No. 05 registered by the Department of Affairs made 15.

– The department sent 2424 documents to the Ministry.

– 32,000 volumes of documents were brought to the archive department from the university.

– 1400 volumes of personal documents of the graduates of 2023 were accepted to the archive department.

– 10 applicants applied to the archive department to receive certificates and college diplomas, the applications were processed.

– In addition, department employees regularly participate in spiritual-educational and sports events held at the institute.
